1Your right to have your data deleted

Jyoti Refractories will review and process a personal-data deletion request, without charge. Data that may lawfully be deleted will be removed; records that must be retained under tax or other applicable law will be kept for the required purpose and period. You do not need a customer account or a login. If you simply want to stop receiving messages rather than delete everything, that option is covered in the “Stopping messages” section below.

This page is also the public data deletion instruction for anyone who has interacted with us through our WhatsApp Business number or our website forms.

2What we can delete for you

Your dataWhat we do on a deletion request
Customer account and profileWe close the account and remove the login record, your password hash, profile details, GSTIN, address book, saved products and notification preferences.
Enquiries and contact-form messagesYour name, email, phone, company, city, product details and the message you sent are deleted, or the record is anonymised if we still need a non-identifying technical reference.
Free sample requestsYour name, email, phone, company, city, state, WhatsApp number, sample requirement and message are deleted. Internal packing and courier reference data is removed with them.
QuotationsDeleted, including your contact details and the line items. If a quotation is attached to an order we are legally required to keep, your identifiers are removed from it instead.
Product reviewsUnpublished from the product page and deleted, whether or not it had been approved.
Newsletter subscriptionYour email is removed from the subscriber list, so no price list or announcement is sent to you again.
Website assistant (AI chat) transcriptsWe will delete a transcript if we can identify the matching random visitor id. It is not linked to your account email or phone; include the browser/device used and an approximate date and time so we can try to locate it. Clearing browser storage stops that browser from sending the same id on future visits but does not itself delete a transcript already stored on our server.
Email and WhatsApp notification delivery logsRemoved together with the enquiry, quotation or order they belong to. WhatsApp destination numbers in these logs are stored masked, and the logs contain no message text. Conversations with our WhatsApp business number are covered in the next row.
Conversations with our WhatsApp business numberWe delete your WhatsApp contact record and the conversation: the messages you sent us and our replies, delivery history, references to any files you sent, AI reply drafts, and the internal notes and follow-up tasks recorded about you. Your entries in WhatsApp campaign records are deleted too. If you also asked us to stop messaging you, we keep only your number with an opt-out flag so that our system keeps blocking messages to it — tell us if you want that removed as well.
Internal follow-up notesNotes, reminders and CRM state recorded by our staff about you are deleted with the record they belong to.

3How to send a deletion request

Send your request by any one of the three methods below. The buttons open a ready-written message — just add your details.

  1. 1Email — write to kelashughareja@gmail.com with the subject “Data Deletion Request”. This is the best method, because your email address is usually the key your account, enquiry, quotation and order records are stored against.
  2. 2WhatsApp — message our business number +91 99098 99496 with the words “Data Deletion Request”. If you want your WhatsApp conversation deleted, send it from that same WhatsApp number; for account, order or quotation records, also include your registered email address. For a website-assistant chat transcript, also include the browser/device used and an approximate date and time; chat records are keyed by a random visitor id, not by your email or phone.
  3. 3Post — write to Jyoti Refractories, Hanuman Mandir, Ravarani Road, Khakhravali, Thangadh, Surendranagar, Gujarat - 363530, India, marked “Data Deletion Request”. Please include a daytime phone number so we can confirm it is you.

4What to include in your request

The more identifying detail you give us, the fewer records we miss. Please include:

  • Your full name, and your company name if you enquired on its behalf.
  • The email address you used on this website — this is the main key for accounts, orders, quotations and invoices.
  • The phone or WhatsApp number you used, if different.
  • Any order number, proforma number, quotation reference or sample reference you have.
  • Which data you want deleted: your account, your enquiries, your quotations, your saved products, the newsletter, or everything.
  • Whether you also want a copy of the data we hold before it is deleted. We can send that first.

You can request everything at once

Writing “delete everything you hold about me” is enough. We will then work through every record type listed above and report back what was deleted and what had to be retained under law.

5How we verify that the request is really from you

Deleting data is irreversible, so we confirm the request before acting.

  • We reply to the email address or phone number already stored against your records, not to a new address introduced in the request.
  • If we cannot match the request to a record, we may ask for one further detail only you would know — for example an order number, a quotation reference, or the city on a previous delivery address.
  • For a request that only asks us to stop messaging you, no verification beyond the address or number itself is needed.

We will never ask for these

We will never ask for your account password, a sign-in OTP, your UPI PIN, your card details or your bank password — not by email, not on WhatsApp, and not on a phone call. If anyone claiming to be from our business asks for them, do not share them and tell us immediately.

6What happens after you send it

  1. 1We acknowledge the request and confirm which records we found.
  2. 2We tell you clearly if anything cannot be deleted — usually tax invoices — and why.
  3. 3We delete the data from the live system, close the account if you asked for that, and remove you from the newsletter list.
  4. 4We reply in writing confirming what was deleted, what was retained and the legal reason for retention.

If a request cannot be completed as asked — for example because an order is still being dispatched — we will explain the position and offer to complete the deletion once that order is closed, rather than silently doing nothing.

7What we cannot delete, and why

Some records are statutory or are needed to protect either party. Where this applies, we keep only the record itself and delete everything else around it.

  • Records that must be maintained under GST law. Section 36 of the CGST Act, 2017 requires the relevant accounts and related records to be preserved for 72 months from the due date for furnishing the annual return for that financial year. If an appeal, revision, proceeding or investigation is pending, the retention period extends to one year after final disposal or the ordinary 72-month period, whichever is later. Your name, GSTIN and address on a tax invoice form part of that record.
  • Records needed to handle a warranty claim, a payment dispute or any other legal claim between us, including any WhatsApp messages relevant to it.
  • A minimal opt-out record — your WhatsApp number and the opt-out or Do Not Contact flag — if you asked us to stop messaging you, so that we can keep honouring that request.
  • Security and admin audit entries. These record that an action happened and may include a masked email, a one-way hash of the requesting IP address, and a shortened browser description; they do not store the raw IP address, a password or a one-time code.
  • Visitor-id-based usage events such as product views. They are not directly linked to your account email or phone, but the random visitor id groups events from the same browser; we will remove them on request if we can identify the matching id.

Retention does not mean use

Data we must retain for tax or legal reasons is kept only for that purpose. It is not used for marketing, follow-up or profiling, and it stays inside the protected admin area.

8Deleting data shared through WhatsApp and Meta

When you message our WhatsApp business number, the messages you send us and our replies are stored in our internal WhatsApp inbox, together with your number, your WhatsApp profile name and the other details listed in our Privacy Policy. When that feature is enabled, we also use Meta's WhatsApp Cloud API to send you pre-approved template messages, such as order status, dispatch, quotation-ready, invoice-issued and sample updates.

  • To have your WhatsApp conversation and number deleted from our records, send a deletion request to kelashughareja@gmail.com, or message +91 99098 99496 from the same WhatsApp number with the words “Data Deletion Request”.
  • We do not currently keep copies of the photos, documents or other files you send on WhatsApp — only their file name, type, caption and Meta's reference — so there is no separate file to delete on our side.
  • Deletion from our systems is carried out by our team after verification; it is not an automatic or instant process.
  • The conversation itself also lives inside your own WhatsApp app. Deleting your data from our systems does not remove it from your phone — delete the chat inside WhatsApp for that.
  • Data that Meta holds about your use of WhatsApp is governed by Meta's own privacy policy and deletion tools; we cannot delete it on Meta's behalf.

9Stopping messages without deleting your data

  • Newsletter — ask us to unsubscribe, or tell us in reply to any email we send.
  • All WhatsApp messages from us, including marketing — reply “STOP” or “UNSUBSCRIBE” as the whole message, or tap the opt-out button in a marketing message (such as “Stop promotions”). Our system records the opt-out automatically and then refuses to send WhatsApp messages to your number. You can also tell us by email or phone.
  • Automated transactional email and WhatsApp notifications — switch them off in the account portal under Notifications → Communication preferences. Account-security notices, such as sign-up verification and password changes, are always sent by email, because they protect your account.
  • Follow-up calls and messages about an open enquiry — ask us to close the enquiry and we will stop following up.

10If you have a customer account

Some of this you can do yourself, straight away, from the account portal at /account:

  • Profile — edit or clear your contact name, company, phone numbers, GSTIN and addresses.
  • Address book — delete individual billing and delivery addresses.
  • Saved products — remove products from your saved list.
  • Notifications — set your email and WhatsApp preferences.
  • Security — change your password and sign out.
  • The portal does not have a “delete my account” button. Account deletion is handled by us: send the request using the methods above and we will close the account and remove the profile data.

11How long it takes

We review each request and acknowledge it, then process it within a reasonable time. We deliberately do not publish a fixed number of days: the application has no automated deletion workflow, and a request that touches tax records or an order in progress must be checked against our legal obligations before anything is removed. We will tell you what we found, what was removed and the reason for any record we retain.

12Backups

After a verified request is processed, eligible data is removed from the live database. Copies already present in backups may remain until the relevant storage is replaced or removed; the exact schedule depends on the backup-retention settings and storage provider, and the application does not define one fixed expiry period. A backup copy is not used as a live customer record.

13Who to contact

Deletion requests and privacy complaints go to the contact person below. If your request is not resolved to your satisfaction, you may complain to the Data Protection Board of India once its complaint process is operational.
